Spreadsheets and chat groups, or hotel operations software?

Short answer

Spreadsheets, paper and chat groups are free, familiar and flexible, and for a small hotel with a stable team they can be enough. They break when information must reach the right person at the right time: guest instructions, handovers across shifts, translated messages and anything you later need to prove. That is the job of operations software.

Key facts

  • Free tools win on cost, familiarity and flexibility.
  • They lose on ownership: who must act, by when, and did they?
  • Chat groups mix guest instructions with small talk and have no handover.
  • Software adds roles, history, translation and links to the PMS.
  • Switch when the same mistake happens twice in a month.

What do spreadsheets and chat groups do better?

They cost nothing extra, everyone already knows them, and they bend to any idea in a minute. A small hotel with a stable team that sits in one office can run well on a shared sheet and a group chat. Any software has to beat that, not just match a feature list.

Where do they break?

  • A guest instruction posted at 07:12 is forty messages up by 09:00.
  • The night shift does not know which items the day shift left open.
  • A colleague who reads Romanian sees German and guesses.
  • The sheet says a room is clean; the PMS does not know.
  • Guest data sits on private phones, which is hard to defend under GDPR.

When is it time to switch?

A useful rule: when the same mistake happens twice in a month, such as a missed allergy note, a room promised early that was not ready, or a repair reported twice, the problem is the tool, not the people. The free hotel operations health check helps you see where the gaps are.

How does Oste handle it?

Oste reads reservations and guests from Apaleo, gives each request an owner and a due time, carries open items from shift to shift, and translates chat for each reader. It is in build: the demo hotel shows the design with invented data, and founding pilots are targeting early 2027.

Questions people ask

Can a small hotel stay on spreadsheets?

Yes, if the team is small and stable and mistakes are rare. Software pays off when information has to cross shifts, languages and roles.

Is WhatsApp allowed for hotel staff?

Many hotels use it. The risk is guest personal data on private phones, outside the hotel’s control. This is general information, not legal advice.

Do we have to stop using our sheets?

No. Start with the part that hurts most, often handover, and keep the rest until it is worth moving.

Where to next?

This is the paper version. Spreadsheets, paper and chat groups against hotel operations software: what the free tools do better, where they break, and when it is time to switch.

  • I run a hotel

Put your hotel forward for one of ten founding places. Shape how it’s built, and go live first. Founding pilots are targeting early 2027.

  • I work on the floor

See the phone app as it is designed, with example data. Nothing to sign up for. If you like it, tell your manager.

  • I build hotel software

See the API before it opens. It’s included in every plan.
